The Internet portal of fairtrade Messe GmbH & Co KG is primarily a marketplace for the processing of business transactions. Although a great deal of information is also available to anonymous visitors, there is sometimes a need for us to obtain data from you which can be company or even person-related in order to provide you with the desired services. Each time content is requested from our Internet site, data (e.g. name of the file requested, date/time, data volume transferred) on this process is stored in a protocol file. In this way, we monitor user conduct throughout the entire website. Nevertheless, the bringing together of this information with data on individual users is only carried out with prior, written consent. fairtrade Messe GmbH & Co KG classifies the entire use statistics on the basis of the user’s domain name, the browser type and the MIME type by reading out this information from the browser string (the information contained in the browser of every user). We monitor and list the search terms entered in the search engine by users; nevertheless, this tracing is never carried out in connection with individual users.
1.1 Cookies
We also use so-called session cookies. These enable optimisation of communication times for incoming web inquiries. As a fundamental rule, our website can also be used without cookies, however this can result in restrictions with individual applications. Cookies are not used for the preparation of person-related use profiles. We moreover employ cookies with a runtime of 180 days, in order to collect and use anonymous usage data for purposes of launching advertising adds on the basis of online behavioural targeting. No personal data, particularly no IP-address, is gathered in the scope of this procedure. You are free to delete the cookies anytime either directly within your browser settings or you may disable them anytime. We use cookies to measure success and optimise our advertising measures.

2. Data protection with special applications
2.1 Electronic Newsletters
We enable the ordering of electronic newsletters on various subject areas. For this, we record the e-mail addresses of those users who voluntarily register as subscribers. The users can delete themselves from the circulation list by following the instructions including in every dispatch.
2.2 Contact form
When you use our contact form, we receive from you the data required for processing of the order and performance of the services agreed. Data fields through which the data required for processing of the business transaction is collected, are always marked separately. If you provide additional, voluntary data, for example on particular specialist interests, we can send you targeted specialist information even before an event. This means that, by entering this data, you yourself decide which data we receive from you on you and your company. In addition, we offer you the possibility of correcting or altering the data collected during registration.
2.3 Registration as an exhibitor in the "Industry Portal" (= online list of exhibitors)
In the following it will be described by us which personal details will be collected in case of you making use of the online shop and the industry portal and for which purposes such details will be used by us.
You will have to register first before booking fairtrade trade fair services via the online shop. We will be storing our contact person’s name and contact details, e-mail address (also serving as user name) and pass word.
Such data will be used in the context of utilisation of the online shop. The data will be deleted after deletion of the user account. After deletion of the account, it will no longer be possible for you to access the order history and the services booked.
2.4 Registration
After exhibitor registration, the contents of your company profile known to us (e.g. company name, address, contact details, contact person) as well as other company details (e.g. product category) will be published by us. Also it will be possible for everyone to see the contents / details edited and/or added by the exhibitor via the Industry Portal or the online shop as such contents / details will be published.
2.5 Limited access areas
A customer account will be created after registration as a visitor or exhibitor. You will be required to indicate an e-mail address (compulsory information that needs to be provided in the context of the registration process). Other information may be provided on a voluntary basis. Trade visitors will be asked to provide more details regarding their company and/or position as proof of qualification; possibly, they will also be asked to submit suitable evidence to prove their trade visitor status. If you register using several e-mail addresses, several customer accounts will be created.
2.6 Virtual/ hybrid events
Whenever you use the platform, that can be accessed from the;www.fairtrade-messe.de;website and its subdomains, (hereinafter referred to as the "Platform"), for the purposes of using the provided networking services that enable you to increase your professional network, we may request some personal information about you. We also collect some of your personal data when you register directly on our Platform to participate in a professional event, or when an event organizer wishes to provide you with our services within the context of the event for which you are registered and sends us your contact details in order that we may contact you. The term "personal data" refers to any and all information which enables an individual to be identified, more specifically your surname, first name(s), postal and email addresses, telephone number(s), data concerning transactions on the Platform, bank card numbers, as well as any other information about you which you may choose to provide us with.
Your personal data is collected and processed for one or more of the following purposes:
- (i) To manage your access to and use of the services available on the Platform.
- (ii) To carry out customer management operations relating to contracts, orders, deliveries, invoices, loyalty schemes, follow-up with customers, etc.
- (iii) To compile a list of registered members, users, customers and prospective customers.
- (iv) To issue newsletters, invitations and promotional advertisements. Should you not wish to receive these, we offer you the option to refuse them at the moment your data is being collected.

The purpose of the fairtrade Messe GmbH & Co KG company is the promotion of economic activity through the organisation of trade fairs and exhibitions and through all activities related to the trade fair and exhibition, business. Data is captured, processed and used for the explicit purposes of the company, specifically for handling the relevant business processes and for assuring and improving the quality of our trade fair events such as for purposes of providing our customers with information prior to and after a certain event about the very event and about follow-up events. Follow-up events may include other subject-related events organized or implemented by fairtrade Messe GmbH & Co KG. The "Industry Portal" online list of exhibitors is a service offered by ngn - new generation network GmbH, Leipziger Straße 126, 10117 Berlin, our technical service provider. Our technical service provider will be processing personal data exclusively for the purpose of rendering services in the context of operation of the "Marketplace" online list of exhibitors but not for own purposes.
The online shop is a service offered by Salesforce, salesforce.com EMEA Limited, Floor 26 Salesforce Tower, 110 Bishopsgate, London, EC2N 4AY, our technical service provider. Our technical service provider will be processing personal data exclusively for the purpose of rendering services in the context of operation of the online shop but not for own purposes.
3.7 Normal periods for the barring / deletion of data
The law contains a wide range of regulations concerning keeping requirements and deadlines. Upon expiry of these deadlines, the corresponding data is deleted as a routine procedure. Excepted from this is data required for the processing of the respective business transaction with fairtrade Messe and in particular for informing customers before and after the event as well as concerning future events. The data on customers who no longer wish to receive corresponding information is barred. To enable consideration of a corresponding declaration by the customer at all times, the data of the objector must be kept permanently in a barring list and, as a rule, cannot be deleted.

Naturally, every one of our customers is at liberty to indicate purposes for which his person-related data should not be used.
